The WordPress plugin
PostShow Host Kit: Transcript Importer adds each prepared transcript to its episode post, keeps your topic pages current and creates idea articles. It works with any theme.
Included with every PostShow Host Kit plan. It downloads as a .zip file; keep it zipped and install it from Plugins, Add New, Upload Plugin. It updates itself after that.
Getting started
What PostShow Host Kit does
From booking to a finished episode page, in one place.
PostShow Host Kit follows each guest from booking to thank-you. For every guest it keeps the intake, writes a run sheet of questions, helps during the recording, and scores how the conversation went so the next one is better.
After the recording, PostShow Host Kit turns the transcript into an episode page for your website:
- It cleans the transcript: filler such as “um” and “right?”, cut-off fragments and misheard names.
- It writes three to five key takeaways in plain sentences.
- It files the episode under one to three topics, so each topic can have its own page on your site.
- It drafts a short article on the episode’s single best idea, with any quotes checked word for word against the transcript.
- It adds up to two links: one to a page on your site and one to another episode, only where the conversation clearly touches them.
How that reaches your site depends on where your site lives. See WordPress, Wix, Squarespace or other sites.
Your first ten minutes
The order that gets you to a finished episode page fastest.
- Open Connections and work through the steps. Each one can be skipped and changed later.
- Under Website transcripts, choose where your transcripts are (Google Drive, Dropbox, or anywhere else and paste them). Your website, chosen in step 3, decides how finished transcripts reach it.
- If you use WordPress, install the plugin and fill in its settings. See Set up WordPress.
- Choose Build topics from my content so your topic pages match what your show is about. See Topic pages.
- Open a guest who has been recorded, go to Website transcript and choose Prepare transcript.
Transcripts
Prepare a transcript
Turn a raw recording transcript into an episode page.
- Open the guest and scroll to Website transcript.
- Choose Find in Google Drive or Find in Dropbox, or paste the transcript. If the recording made two transcript files, use the larger one; a file under 300 words after cleanup is treated as empty.
- Add the address of the episode’s page on your site if you know it. It makes matching exact and lets later episodes link to this one.
- Choose Prepare transcript. PostShow Host Kit writes the takeaways, picks topics and links, and drafts the idea article.
- Review the result. Then send it to your site: it is saved to your folder automatically for WordPress, or use the Wix, Squarespace or copy buttons.
You can prepare a transcript again at any time. The new version replaces the old one everywhere, except an idea article you have already edited on your site.
What the cleanup changes
Exactly what is removed or fixed, and what is never touched.
The cleanup is rule-based. It never rewrites what anyone said.
- Removed: turns that are only filler (“Yeah.”, “Mhm. Right.”), “um” and “uh”, words said twice in a row, cut-off fragments of four words or fewer, notetaker bots, and the header and footer that meeting tools add.
- Joined: sentences that a removed interjection split in two, and back-to-back turns by the same speaker.
- Fixed: your show’s name, and any misheard names you list under Connections, Website transcripts, as
heard => correct, one per line. Speaker names written in lowercase are capitalized from the attendee list.
Words a transcription tool got wrong inside a sentence, such as a technical term, are not guessed at. Add them to your name fixes, or correct them in the transcript before you prepare it.
Topic pages
How topics are chosen and where their pages appear.
Every episode is filed under one to three topics. On WordPress, each topic gets its own page listing every episode and idea article on it, under one index page. Topic pages give search engines and listeners a clear map of what your show covers.
Your topics are built from your own content. In Connections, Website transcripts, choose Build topics from my content. PostShow Host Kit reads your guests and episodes, plus anything you paste into “Your site’s content” (the WordPress plugin gives you this text under Site content for PostShow Host Kit), and proposes five to twelve topics with a short introduction for each. Untick any you do not want, then save. You can rename, edit or add topics by hand.
When an episode does not fit any topic, PostShow Host Kit suggests a new one when you prepare it. One click adds it.
A topic page appears only once a published episode has that topic. You can edit its introduction on your site; the list below it updates itself.
Example: Stress, Burnout and High Achievement on memores.me, one of its topic pages.
Idea articles
A short article on each episode’s best idea.
For each episode, PostShow Host Kit drafts an article of 350 to 550 words on the single most useful idea from the conversation, in the voice you set under Connections, Website transcripts. It opens with the idea, explains it through the guest’s own reasoning, and ends with one thing a reader can try.
Any direct quote is checked word for word against the transcript. If one does not match, PostShow Host Kit shows a warning so you can fix it before publishing.
On WordPress the article arrives as a draft for you to review, unless you chose to publish automatically. Once it is published, the episode page links to it as “The big idea”, and it appears on the episode’s topic pages.
Example: How do I stop letting achievement define my worth? on memores.me.
Your website
Set up WordPress
Install the plugin and choose where transcripts go, about ten minutes.
The PostShow Host Kit: Transcript Importer plugin puts each prepared transcript on your site by itself. It works with any theme: everything it adds uses your theme’s fonts, colors and headings.
- Get the plugin (a .zip file).
- In WordPress, go to Plugins, Add New, Upload Plugin, choose the file, then Install Now and Activate.
- Open PostShow Host Kit, Podcast transcripts in the WordPress menu and scroll to Settings:
- Show name and Episode category slug: only posts in this category receive transcripts.
- Topic pages address: the page your topic pages sit under.
- New idea articles: save them as drafts for you to review, or publish them when the episode attaches.
- Choose how transcripts arrive: let PostShow Host Kit send them, watch a Google Drive folder, or upload an import file under Import.
- Under Site content for PostShow Host Kit, choose Copy site content and paste it into PostShow Host Kit, so your topic pages match what your site already covers.
What appears on your site: once a transcript arrives, the plugin adds a section to the end of that episode’s post: key takeaways, links to its topic pages and the full transcript, collapsed under “Read the full transcript”. Nothing above it changes. If the episode post does not exist yet, the transcript waits and attaches as soon as it is published. The plugin also gives each episode, idea article and topic page a search title and description.
Google Drive key for WordPress
A free, read-only key so your site can read one folder.
Google does not let a website read a folder from a simple link, so the plugin uses a service account: a free Google Cloud identity that can only see folders you share with it, and only read them. It takes about ten minutes, once.
- Open Google Cloud, New project. Name it, for example “podcast-transcripts”, and choose Create. No billing is needed. If this is your first visit, accept the terms first.
- Make sure the new project is selected at the top of the page. Then open the Google Drive API and choose Enable.
- Open Create service account. Give it a name and choose Done. It needs no roles.
- Open the service account you just made, go to Keys, choose Add key, Create new key, JSON. A small file downloads.
- In WordPress, open PostShow Host Kit, Podcast transcripts and find Watch a Google Drive folder. Open the downloaded file in a text editor, copy all of it and paste it into Service account key.
- In Google Drive, open the folder PostShow Host Kit saves to and copy the address from your browser’s address bar. Paste it into Folder. Save.
- The plugin now shows the service account’s email address. In Google Drive, share the folder with that address as a Viewer, then test again.
- Delete the downloaded key file from your computer.
Common messages: “The folder was not found” means step 7 is not done yet. “Google Drive refused access” means the API in step 2 is not enabled for the project that holds the key.
Wix
PostShow Host Kit creates the blog post draft on your site.
- In PostShow Host Kit, open Connections, choose Wix as your website and choose Connect Wix.
- Sign in with the Wix account that owns your site, allow access and pick your site.
- After you prepare a transcript, choose Create Wix draft. PostShow Host Kit creates a draft blog post with the takeaways and the full transcript. Open it in Wix, add your player or cover image, and publish.
Your site needs the Wix Blog app. The draft uses your site’s blog styles, so it looks like your other posts.
If the connection check fails, use Copy text and paste into a new blog post.
Squarespace
Paste one block into each episode’s blog post.
Squarespace has no way for other tools to create blog posts, so PostShow Host Kit gives you a ready block to paste. It takes about a minute per episode.
- After you prepare a transcript, choose Copy for Squarespace.
- In Squarespace, open the episode’s blog post and choose Edit.
- Below your existing content, add a block and choose Code. Leave the display setting on HTML.
- Paste, then choose Save.
The block contains the key takeaways and the full transcript, collapsed under “Read the full transcript”. It has no fonts or colors of its own, so it picks up your site’s styles.
If your plan does not allow Code blocks, choose Copy text instead and paste into a Text block.
Other websites
Copy the finished HTML into any site builder.
For Ghost, Webflow, Substack or any other site, use Copy page HTML after preparing a transcript, and paste it into an HTML or embed block in the episode’s post. Use Copy text for editors that do not accept HTML.
Copy article HTML gives you the idea article to publish as its own post.
Connections
Connect Google Drive
Let PostShow Host Kit find your transcripts in Google Drive.
- In PostShow Host Kit, open Connections and choose Connect Google Drive.
- Sign in with the Google account that holds your transcripts and allow access.
- When you prepare a transcript, choose Find in Google Drive and pick the file in Google’s own file picker.
What PostShow Host Kit can see: only the files you pick. It does not browse, change or delete anything else in your Drive. You can disconnect it at any time under Connections, or from your Google account’s security settings.
Connect Dropbox
Let PostShow Host Kit find your transcripts in Dropbox.
- In PostShow Host Kit, open Connections and choose Connect Dropbox.
- Sign in to Dropbox and allow access.
- When you prepare a transcript, choose Find in Dropbox. PostShow Host Kit looks for a file with “transcript” and the guest’s last name in its name. Text, Word, PDF and Dropbox Paper files work, up to 5 MB.
You can disconnect Dropbox at any time under Connections, or from your Dropbox account settings.
Troubleshooting
The transcript has not appeared on my site
Work through these in order.
- Give it an hour. The WordPress plugin checks for new transcripts every hour. To check now, open PostShow Host Kit, Podcast transcripts in WordPress and choose Update the website now.
- Did the transcript arrive? The Transcripts list on that page shows every transcript the plugin has received, with its episode, idea article and topics.
- Is it waiting for its episode? A transcript attaches only to a published post in your episode category (under Settings), dated within the match window after the recording. The post’s title or text must name the guest.
- Still stuck? Read Recent activity at the bottom of the page. It says what happened to each transcript.
Connection messages
What each message means and the fix.
- “Not connected”: open Connections in PostShow Host Kit and connect the service.
- “Needs reconnecting”: the sign-in expired or was revoked. Choose Reconnect under Connections.
- “Access was refused”: you declined a permission when signing in. Connect again and allow access.
- “Choose which account”: you have two accounts of that service connected. Pick one when asked.
Still stuck? Send us a message with what you see on screen.
Privacy
Your data
What is stored, where, and who can see it.
- Your guests, run sheets and settings are saved to your PostShow Host Kit account, visible only to you and the people you invite.
- PostShow Host Kit reads transcripts only from the files you pick, through connections you approve.
- Prepared transcripts are meant to be published, so treat any folder you use for import files as public. Do not keep anything else in it.
- The WordPress plugin stores its Google key in your WordPress database, asks Google only for read-only access, and can see only folders you share with it.
- Your audio and transcripts are used only to produce your pages, and for nothing else.
Frequently asked questions
Do I need a WordPress site?
No. WordPress gets the most automation, Wix gets drafts created for you, and Squarespace or any other site gets a block to paste.
Does PostShow Host Kit host my audio or my RSS feed?
No. It works alongside your podcast host and your website; it never hosts audio or feeds.
Which transcripts work?
Any text transcript with one speaker per line, such as "Name: what they said". PostShow Host Kit can find them for you in Google Drive or Dropbox when the file name includes "Transcript" and the guest’s last name.
Will it change what my guest said?
No. It removes filler and fragments and fixes names you list, but never rewrites a sentence. Quotes in idea articles are checked word for word.
My guest’s name is misspelled all through the transcript.
Add it under Connections, Website transcripts, as heard => correct, then prepare the transcript again.
Can I edit the takeaways or the article?
Yes, on your site after it arrives. On WordPress, an idea article you have edited is never overwritten when you prepare the transcript again.
Will the transcript match my site’s design?
Yes. The plugin and the paste blocks add plain headings, lists and paragraphs with no fonts or colors of their own, so your theme styles them.
Will it change my existing episode post?
No. On WordPress it adds a section at the end, between its own markers, and leaves everything above alone.
My episodes are created by a podcast plugin. Does that work?
Yes, as long as the episode posts are in the category you set in the plugin’s settings.
What if the episode isn’t published yet?
The transcript waits in the plugin’s queue and attaches as soon as the episode post is published.
How do transcripts reach my WordPress site?
PostShow Host Kit sends them to the plugin, or the plugin picks them up from a Google Drive folder you choose. You can also upload an import file by hand.
Why does PostShow Host Kit ask for permission when I connect a service?
Google, Dropbox and Wix each ask you to approve what PostShow Host Kit may see. You approve once, and you can remove access at any time.
The transcript says it is empty.
After cleanup it had fewer than 300 words. Meeting tools sometimes make a second, nearly empty transcript file; use the larger one.
