Privacy Policy

Last updated: October 19, 2026

This policy explains what information Benabis collects, why, and what you can do about it. It covers the benabis.com website, the Benabis Host Kit app (at benabis.com/app), the Benabis Host Kit WordPress plugins, and the update service those plugins use.

1. Who we are

Benabis (“Benabis”, “we”, “us”) makes Benabis Host Kit, a set of tools for podcast hosts. We are based in Victoria, British Columbia, Canada. To reach us about privacy, use our contact page.

2. Information we collect

Information you give us

  • Account details: your name and email address. If you sign in with Google, we receive your name, email address and profile picture from Google.
  • Podcast details: your show’s name, RSS feed address, website address, host name, colours, fonts and other settings you choose.
  • Guest details you enter: names, email addresses, organizations, social media handles, bios and talking points for the guests on your show. You are responsible for having the right to share this information with us.
  • Messages: anything you send us through the contact form or by email.

Information from services you connect

Host Kit only connects to a service when you ask it to, and you can disconnect at any time.

  • Google Drive (read only): Host Kit reads the meeting transcripts and recordings in your Drive so it can prepare each episode. It does not change or delete your files.
  • Gmail or Microsoft 365 / Outlook (send only): if you connect your mailbox, Host Kit sends guest emails you approve from your address. It cannot read your inbox.
  • Social networks (Instagram, Facebook, Threads, TikTok, LinkedIn, Bluesky, Mastodon and others): we receive your account name and ID and an access token that lets Host Kit post the clips you choose. On TikTok, Host Kit sends the clip to your TikTok inbox as a draft or publishes it, depending on the setting you pick. We do not read your private messages, followers or other posts.
  • Your website: if you connect a WordPress site, we store its address and a private key so Host Kit can send it episode pages and transcripts.

Information collected automatically

  • Usage and log data: pages visited, actions taken in Host Kit, browser type, IP address and the date and time of each request. We use it to run, secure and fix the service.
  • Plugin update checks: sites running a Benabis plugin check benabis.com for updates. Each check sends the site’s address, its WordPress version and the versions of Benabis plugins installed. We use this to deliver updates and to count how many sites use each plugin. Published counts are totals only and never name a site.
  • Cookies: we use cookies to keep you signed in and, with your consent where required, for analytics. See our Cookie Policy.

3. How we use information

  • To provide Host Kit: preparing questions, transcripts, summaries, topic pages, clips, social posts and emails.
  • To post or send content only when you approve it, or on a schedule you set.
  • To deliver plugin updates and keep the service secure.
  • To answer your questions and tell you about changes to the service.
  • To bill you for your plan, once paid plans are active.

We do not sell your personal information, and we do not use it for advertising.

4. AI processing

Host Kit uses Anthropic’s Claude models to prepare transcripts, summaries, questions and captions. The text needed for each task is sent to Anthropic for processing. Under Anthropic’s commercial terms, this content is not used to train its models. If you add your own Anthropic API key, your content is processed under your own agreement with Anthropic.

5. Google user data

Host Kit’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We use Google data only to provide the features you turn on. We do not use it for advertising, we do not sell it, and people do not read it unless you ask us to for support, it is needed for security, or the law requires it.

6. Who we share information with

We share information only as needed to run Host Kit:

  • Service providers: our web host, Anthropic (AI processing), and a payment processor once paid plans are active. Card details go directly to the payment processor; we never see or store them.
  • Services you connect: when you post a clip or send an email, the content goes to that network or mail service and is governed by its own privacy policy.
  • Your website: episode pages and transcripts go to the sites you connect.
  • Legal reasons: when required by law, or to protect the rights and safety of our users or the public.
  • Business transfers: if Benabis is sold or merged, information may transfer to the new owner under this policy.

7. Where information is stored, and how it is protected

Information may be stored and processed in Canada, the United States and other countries where our providers operate. Access tokens, passwords and keys for connected services are stored in scrambled form and are never shown in the browser. All traffic to benabis.com is encrypted. No system is perfectly secure, so please use strong passwords and tell us right away if you suspect a problem.

8. How long we keep information

We keep your account information while your account is open. Transcripts and episode materials stay in Host Kit until you remove them or close your account. Pages already published to your own website stay there. Log data is kept for up to 12 months. When you close your account, we delete your information within 30 days, except where we must keep records for legal, tax or security reasons.

9. Your choices and rights

  • Disconnect a service at any time under Settings in Host Kit. You can also remove Host Kit’s access from the service itself: your Google Account permissions, Instagram or Facebook “Apps and websites”, Threads “Website permissions”, TikTok “Manage app permissions”, or LinkedIn “Permitted services”.
  • See, correct or delete your information by contacting us. When you remove Host Kit from Facebook, Instagram or Threads, we receive a deletion request and delete the data we received from that network.
  • Depending on where you live (for example under Canadian privacy law, the GDPR in Europe or the CCPA in California), you may have more rights, such as data portability or objecting to certain processing. We honour these requests. You may also complain to your local privacy regulator; in British Columbia, that is the Office of the Information and Privacy Commissioner.

10. Children

Host Kit is meant for adults running a podcast. It is not directed to children under 16, and we do not knowingly collect their information. If you think a child has given us information, contact us and we will delete it.

11. Changes to this policy

We will post any changes on this page and update the date at the top. If a change is significant, we will tell signed-in users by email or in Host Kit before it takes effect.
